Ruler: Case Study: Automating Office 365 Groups

The Pingle School is a Secondary School located in Derbyshire, UK. As well as serving the needs of its 1,000 students, the school wanted to continue to develop the rich feature set of Office 365 and were especially keen to utilise Office 365 Groups for their teachers to use as a resource centre for their classes. Having already identified that there were significant problems manually administering elements of these processes, the school were keen to explore the opportunity of integrating with their Management Information System, Capita SIMS.

Solution

Microsoft Education Partner and Capita SIMS Technical Partner, Ruler, who specialise in connecting Office 365 with Capita SIMS, worked closely with The Pingle School to understand the schools specific requirements and recommended their Ruler Connect product, which can be downloaded and installed in minutes.

Using Ruler Connect, the Office 365 Groups are automatically created and managed each day for each class based on the information held in Capita SIMS. New class students are automatically added and class leavers removed.

Office 365 Groups connects Users, Content and Conversations across Office 365, providing an integrated experience that links together file storage, calendar event management and email conversations.

Using Office 365 Groups means students and teachers can access information centrally and communicate with each other in a closed private environment. From a school’s point of view, it provides a leading edge platform, while achieving an efficient and effective system.

The security is automatically managed, so that the teacher is the group owner and the students are the members, ensuring that the teacher always has full control.

Ray Humphrey, the Network Manager at The Pingle School explains:

"In our School, teachers are now using Office 365 Groups to share resources and set homework. This is already making it much easier for teachers to manage the homework process for specific class groups. It is also making it more practical for students to access the information at home on their own devices. We have also created Office 365 Groups for specific school departments. This enables the group to email and share files with only the group members, keeping the content safe and secure from other school matters. The online process also reduces the school’s paper and printing costs."
