Forwarding Voicemail to Email

I get asked this one fairly often: "how do I configure RP to send my voice mails to my email?".

You need to do two things:

  1. Go into the Administrator app and configure RP with the details of an email server it can use to send voicemail.  The Administrator help file has a great topic on this, which I've pasted below.
  2. Go into each user's settings and enter their email address.  You can do this for each user from Administrator, or users can do for it themselves from Assistant.

From the help file:

Configuring the E-Mail Server

Your e-mail server can be configured to work with Response Point. Configuring an e-mail server allows you to set up voicemail so that voice messages can be sent as attachments to e-mail.

Before configuring the e-mail server, you'll need to establish a high-speed Internet connection with an Internet service provider

To configure the e-mail server

  1. Click the Base Unit button.

  2. In the Tasks pane, under Properties, click Configure E-Mail Server.

  3. In the Configure E-Mail Server dialog box, select options or enter information as appropriate, and click OK.

The following table lists the SMTP server addresses of several Internet e-mail services:

    Service SMTP Servers Port SSL/TLS
Yahoo Small Biz smtp.bizmail.yahoo.com 465 Yes
    Yahoo Paid smtp.mail.yahoo.com 465 Yes
    Gmail Free smtp.gmail.com 465 Yes
    Hotmail Plus smtp.live.com 465 Yes
    GoDaddy Email smtpout.secureserver.net 80/25/3535 No
    1and1.com (hosted Exchange) smtp.exchange.1and1.com 25/587 No
    Netzero authsmtp.netzero.com 25 No

Important SMTP information is subject to change.

To verify that the server name and connection information is correct

  1. Configure your user account in the Assistant program to send voice messages as e-mail attachments.
  2. Call your extension number from another phone, and leave a voice message for yourself.
  3. Open your e-mail program, and verify that you received it.
  4. Double-click the WAV file to hear your test message.

NoteIf you do not receive the e-mail message with attached voicemail file, check the event log to see if there was a failure in connecting to the e-mail server or sending e-mail.

Also, check the junk e-mail folder in your e-mail program to make sure the message wasn't filtered as spam. It may be necessary to add the sending e-mail address to your "safe sender" list.
