How to Add, Edit, Change and Revert Address and Details Templates

What are details templates and how are they used? Details templates control the appearance of the address lists your Exchange users see when they look up recipient properties in address lists. You can change the appearance of address lists by modifying details templates.

What are address templates and how are they used?  Address templates are used to address messages that are not located in your global address list.

How do I modify the appearance of a details template?   You manage details templates from System Manager. You can create new template controls or modify existing template settings.

How to Add a New Template Control
You can add a new template control that modifies an existing details template. For example, you can decide to add another check box to the user details template.

  1. Start Exchange System Manager: On the Start menu, point to Programs, point to Microsoft Exchange, and then click System Manager.
  2. In the console tree, double-click Recipients
  3. Double-click Details Templates to expose the language list.
  4. Double-click a language that you want to work on.
  5. In the details pane, double-click the template that you want to add the control to.
  6. In the Properties dialog box, perform one of the following tasks:
  7. Click the Templates tab.
  8. Click Add. 
  9. In the Select Control Type dialog box, in Choose a control type, select a control type, and then click OK.
  10. In the Control dialog box, type the values and select the options required for the control type you selected, and then click OK. 
  11. To verify that the changes to the template appear correctly, in the Properties dialog box, click Test. 
  12. View the template
  13. Click either OK or Cancel.

Edit a Template Control
You can modify any template by changing one or more of the template's controls. Depending on the type of control you select to edit, you can change its name, value, location, size, or function. To edit a template control:

  1. Start System Manager: On the Start menu, point to Programs, point to Microsoft Exchange, and then click System Manager.
  2. In the console tree, double-click Recipients, double-click Details Templates to expose the language list, and then double-click a language.
  3. In the details pane, double-click the template with the control you are modifying.
    In the Properties dialog box, perform one of the following tasks
  4. Click the Templates tab.
  5. Select the control you want to edit, and then click Modify.
  6. In the Control dialog box, change the values and select different options for the control type you selected, and then click OK.
  7. To view the template with the modified control, in the Properties dialog box, click Test.
  8. Verify that the changes to the template appear correctly.
  9. Click either OK or Cancel.

Change the Order of Template Controls
You can change the order of a details template's control types. This enables you to organize the controls in a logical manner. Changing the order of template's control types also allows you to move control types from one tab to another.

NOTE: When you view a details template, the control type page break will appear. The first control in a template must be a page break, which indicates the start of a new tab. For example, the control types listed beneath the first page break and above the second page break affect the appearance of the first tab.

To change the order of details template controls:

  1. Start System Manager: On the Start menu, point to Programs, point to Microsoft Exchange, and then click System Manager.
  2. In the console tree, double-click Recipients, double-click Details Templates to expose the language list, and then double-click a language.
  3. In the details pane, double-click the template that has the control you are modifying.
  4. Click the Templates tab.
  5. Select the control you want to move, and then click Move Up or Move Down.
  6. To view the template with the new control order, in the Properties dialog box
  7. Click Test.
  8. Verify that the changes to the template appear correctly
  9. Click either OK or Cancel.

Revert to Original Template Settings
If you have changed the appearance of a details template by adding, removing, or modifying template control types, you can return to the template settings that were in place when you first installed Exchange Server 2003. Reverting to the original template permanently overwrites any changes you or another administrator made to a template.

To revert to the original details template:

  1. Start System Manager: On the Start menu, point to Programs, point to Microsoft Exchange, and then click System Manager.
  2. In the console tree, double-click Recipients, double-click Details Templates to expose the language list, and then double-click a language.
  3. In the details pane, double-click the template you are modifying.
  4. Click the Templates tab.
  5. To revert to the original template, click Original.

NOTE: To permanently overwrite all of the changes you or another administrator made to the template, when ask if you are sure you want to overwrite all template controls with the original template, click Yes.

View the Appearance of a Details or Address Template
You can view the appearance of details or address templates. This is helpful when you are modifying the control types that control the appearance of templates. For example, if you add a control type to a template, you can view the template to verify that the new control type affects the appearance of the template as you intended.

To view the appearance of a template:

  1. Start System Manager: On the Start menu, point to Programs, point to Microsoft Exchange, and then click System Manager.
  2. In the console tree, double-click Recipients, double-click Details Templates to expose the language list, and then double-click a language.
  3. In the details pane, double-click the template you want to view.
  4. Click the Templates tab.
  5. To view the appearance of the template, click Test.
  6. Verify that the changes to the template appear correctly
  7. Click either OK or Cancel.
