Conquer Your Calendar: Use PowerPivot To Analyze Your Time

[view:https://www.youtube.com/watch?v=iT6OX0ZNanA]

Today we are very excited to release a free tool utilizing PowerPivot for Excel, Calendar Analytics.  Calendar Analytics is a time management application that pulls information from Exchange and visualizes that data in a very easy to use Excel dashboard.  We are releasing this application in honor of Administrative Professionals’ Day, but this application is not geared exclusively to high level executives and their administrative assistants.  This new BI tool was developed as part of a continuing effort to show individuals and organizations that business intelligence can be utilized by everyone; not just CIOs and top level executives.  Watch this very special episode of BITV and learn how the Calendar Analytics idea came about as well as an overview of the application.  Then download the application and tell us what you think!

PowerPivot is required to run Calendar Analytics.  You can download this free add-on here

Useful Tool &  Article.  Interesting to note that MS is not using MS Videos for these clips.

I get "ERROR: Communication", "Autodiscover service could not be contacted. Please ensure that your internet connection is working"  when i try to get data with "Refresh Calendar" button in excel! I'm connected to LAN, my outlook 2010 is running and i have internet connection (via proxy)! How does email-discovery of this tool work? What are the prerequisites regarding firewall ports, permissions…

  3. Danny Sands says:

Cool tool, if I could get it to work.  After clicking "Refresh Calendar" according to the instructions, I type in my emial address(s) etc. and then it gives me the hour glass for a bit which then pops a dialog box "ALERT: Incomplete Calendar Download" and then a listing of each date that it did not download, which is representative of all of the dates in the date range that I originally selected.

  4. Robert Stevens says:

I'm getting different kinds of communication errors from it telling me it skipped every day on my calendar to saying the Autodiscover service could not be contacted.  Either way…it doesn't seem to want to connect to my calendar.

  5. @JJ78 and @Robert Stevens – The application uses Exchange Web Services to download the calendar items. Is your email server and Exchange Server, do you know what version it is? Thanks.

  7. @Danny Sands — We've seen this intermittently if the connection to Exchange Web Services drops. Can you please try again, or try a smaller time period? Thanks.

  8. stranger99 says:

@Chris Yes, we are running EX2007 and i can use RPC/HTTPS to connect outlook from outside. EWS is a optional exchange 2007/2010 feature? Is there any way to test EWS in general, maybe browsing the EWS-URL direct with browser? Exchange+active EWS should be added to "system requirements" on downloadpage!

  9. Would like to give this a go but cannot because I don't use Exchange. I do however use Hotmail which supports ActiveSync so I don't see a reason why this *wouldn't*. Is this a deliberate limitation?

Given this consumes calendar data it would be nice if you supported the open format for calendar data – iCalendar (en.wikipedia.org/…/ICalendar). Any reason why you didn't do that?

    Regards

    JT

  10. Danny Sands says:

@Chris Castillo:  Yep, tried many times with as little as one day in the date range with same result…

  11. Bruno Aziza says:

Thanks all for the comments and questions on the application.

We have a technet wiki to help you with support @ social.technet.microsoft.com/…/calendar-analytics-for-powerpivot-known-issues.aspx

Also, full conditions and instructions are posted @ http://www.microsoft.com/…/details.aspx

I’m experiencing the same error as described above by Danny Sands:

“After clicking ‘Refresh Calendar’ according to the instructions, I type in my email address(s) etc. and then it gives me the hour glass for a bit which then pops a dialog box ‘ALERT: Incomplete Calendar Download’ and then a listing of each date that it did not download, which is representative of all of the dates in the date range that I originally selected.”

It doesn’t date range or number of people doesn’t matter. We have another working solution which uses Exchange Web Services to collect calendar information from our Exchange 2010 server.

Calendar Analytics functions as expected when connecting to Office 365.

I’m living in Norway; can this be a date format issue? (I’ve English Excel.)

  14. TR says:

I have the same issue as Danny & John.

Changing my regional settings didn't do it for me, so I don't think format can be the problem.

  15. @Christ Castillo – This is Robert Stevens from yesterday.  We're using Windows Server 2008 with Exchange 2010.  I am using a Windows 7 32 bit machine with Office 2010.

  16. Jean-Claude Monney says:

Great blog and video AND tool. I will promote to my customers and my network.

  17. John H. Selnæs says:

We have Exchange server 2010, does Calendar Analytics require SP1?

  18. Jim Brown says:

I would love to this and an other Time/Life Management principles incorporated into the next version of Outlook … making tasks richer, calendars more meaningful … this specifically … nice work. Can't wait to try it out.

  19. Nuno Felino says:

    Hi there,

as some other users have already posted, i'm getting all the time the "Autodiscover Service could not be contacted…" problem.

Using EX2007, Outlook2010, using the company LAN, same ID for Win/Mailbox.

    Any help?

    Thanks.

    Best Regards

    NF

  20. Bruno Aziza says:

    Hello all,

As a reminder, there is a wiki that has been started to assist you with issues you are having with Calendar Analytics: social.technet.microsoft.com/…/calendar-analytics-for-powerpivot-known-issues.aspx

    Thanks!

  21. Philip Colmer says:

Like others, I'm having the "ALERT: Incomplete Claendar Download" error. We're using Exchange 2007, fully patched.

Are there any additional steps I should be taking as a server administrator to make sure that EWS is set up and working as required? Outlook Anywhere and Outlook Web Access are set up and working.

  22. R Holland says:

I wonder if this add-in will be working with Exchange SErver 2003?

  23. Pierre says:

Same for me, Incomplete Calendar Download

    Could you provide a solution?

  24. David Grospelier says:

    Hi,

I have a BPOS account (not Office 365 at this time). Does this tool may works with my account ?

If yes, do I need to specify my password like an Office 365 account ? (I tried but it does not works).

    Thanks.

  25. George Abg says:

@Christ Castillo – Have you figure out a solution for the ALERT_Incomplete_Calendar_Download? We are under Exchange server 2007 SP3 and win7 with MsOffice 2010

I get "ERROR: Communication", "Autodiscover service could not be contacted. Please ensure that your internet connection is working", too.  I'm on MS Office 2010 and Outlook 2010.  I'm in the office on my LAN.  Outlook is working.  I can connect to my Outlook email through OWA as well.  We don't have Autodiscover turned on for security reasons.

  29. Melinda Ladd says:

Calander does not link. Am I using correct alias? My email address without the @company.com?

Also, the "Update All' under PivotTable does not highlight so I cannot click on it. Perhaps it is related to the Alias problem.

    Any suggestions? Thanks
